How to Define YOS (Years of Service) in XandaPay

The YOS Definition section in XandaPay allows HR to configure rules for calculating an employee’s Years of Service. These rules are essential for determining eligibility for benefits, leave entitlements, and other service-based policies.

Step 1: Navigate to the YOS Definition

  1. Log in to your XandaPay portal.
  2. From the left-hand menu, go to HR → Attendance → Leave → YOS Definition.
  3. The screen will display the Leave Matrix Master Details table with existing YOS rules.

Step 2: Understand the Table Fields

  1. Review the columns to understand each rule:
    • ID: Unique identifier for the rule.
    • Master Profile: The profile this rule applies to.
    • AENT: Accrual Entity used for leave calculations.
    • Start (YOS): The minimum years of service for this rule.
    • End (YOS): The maximum years of service for this rule.
    • Void: Check this box if the rule is no longer valid.

Step 3: Add a New YOS Rule

  1. Click the New Leave Matrix Master Details button.
  2. Enter the following details:
    • Master Profile: Select the applicable profile.
    • AENT: Define the accrual entity if required.
    • Start (YOS): Enter the minimum years of service for the rule.
    • End (YOS): Enter the maximum years of service for the rule.
  3. Leave Void unchecked unless you want to deactivate the rule.
  4. Click Save to store the new YOS rule.

Step 4: Edit an Existing YOS Rule

  1. Locate the YOS rule you want to modify in the table.
  2. Click on the hyperlink to open the edit screen.
  3. Update the necessary fields (e.g., Start (YOS), End (YOS), AENT).
  4. If the rule should no longer apply, check Void.
  5. Click Save to confirm and apply the changes.

Additional Notes

  • Create multiple YOS rules to cover different ranges of employee tenure.
  • Use Void to deactivate rules without deleting historical records.
