Managing Payroll Tasks

Payroll Tasks in XandaPay allow users to define specific actions or reminders that need to be completed for a particular payroll. These tasks help ensure accuracy and compliance in payroll processing. Each task can have a Completed and Validated flag, providing dual validation to confirm that it has been properly addressed.

Accessing the Payroll Tasks Module

To access Payroll Tasks:

  1. Navigate to the Payroll module in the left menu.
  2. Click on Tasks under the Payroll section.
  3. The Payroll Tasks page will display a list of existing tasks.

Creating a New Payroll Task

  1. Click the New Payroll Tasks button.
  2. In the Edit Payroll Tasks form:
    • Select the Payroll ID the task applies to.
    • Enter a Note describing the task.
    • Check Is Completed when the task is done.
    • Check Is Validated to confirm verification.
  3. Click Save to store the task.

Editing or Deleting a Payroll Task

  1. Click on an existing task to open it for editing.
  2. Make the necessary changes and click Save.
  3. To delete a task, click the Delete button.

Payroll Tasks in the Payroll Workflow

Payroll Tasks are also integrated into Step 5 (Review & Edit) of the Payroll Workflow:

  1. Open the Payroll Workflow and navigate to Step 5.
  2. Click the Tasks & Reminders tab.
  3. Tasks created in the Payroll Tasks module will appear here.
  4. Tasks can be updated, marked as Completed, or Validated.

Best Practices

  • Use Payroll Tasks to track critical payroll-related actions that require follow-up.
  • Enable dual validation by using both the Completed and Validated flags for accountability.
  • Review tasks before finalizing payroll to avoid processing errors.
  • Ensure all necessary stakeholders have access to Payroll Tasks for smooth payroll management.
