How to Manage Leave Requests

The Leave Requests feature in XandaPay Enterprize allows HR teams and managers to view, submit, review, and action employee leave requests. It provides full visibility into requested leave periods, leave types, approval status, and balances to ensure accurate leave administration and timely decision-making.

Step 1: Navigate to the Leave Requests Page

  1. Log in to your XandaPay Enterprize portal.
  2. From the left-hand menu, go to HR → Leave.
  3. Click Leave Request.
  4. The Leave Requests page will open, displaying all existing leave requests.

Step 2: Understand the Leave Requests Grid

The table displays the following information:

  • ID – Internal identifier for the leave request.
  • Number – System-generated leave request reference number.
  • Type – Leave type requested (e.g., VAC – Vacation).
  • Employee – Employee who submitted the request.
  • Leave From Date – Start date of the leave period.
  • Leave To Date – End date of the leave period.
  • Days – Total number of leave days requested.
  • Status – Current status of the request (Submitted, Approved, Rejected).
  • Quick Actions – Allows approval or rejection directly from the grid.

This grid gives a complete overview of all leave requests and their statuses.


Step 3: Create a New Leave Request

  1. Click New Leave Request at the top of the page.
  2. The New Leave Request screen will open under the General → Request tab.
  3. The Number field, which is auto-generated by the system.
  4. Enter a Note if needed.
    (This note will be visible to the approver.)
  5. Select the Leave Type from the dropdown list.
  6. Select the Employee requesting the leave.
  7. (Optional) Under Documents, click Select File to upload any supporting documentation.
  8. In the Dates section:
    • Select the Leave From Date.
    • Select the Leave To Date.
    • Review the automatically calculated Duration (Days).
  9. Enter a Comment if additional information is required.
  10. Confirm the Status is set to Submitted.
  11. (Optional) Select a Delegated Employee if responsibilities need to be delegated during the leave period.
  12. Click Save to submit the leave request.

Step 4: Review and Action Leave Requests

  1. Locate the leave request in the list.
  2. Review the leave details, dates, and employee information.
  3. Use the Quick Actions icons to:
    • Approve the leave request.
    • Reject the leave request.
  4. The request status will update accordingly.

Step 5: Filter Leave Requests by Criteria

  1. Use the filter fields at the top of the grid:
    • Type
    • Employee
    • Leave From Date
    • Leave To Date
    • Status
  2. Select the appropriate values.
  3. The list will update to display matching leave requests only.

This helps narrow results when reviewing large volumes of requests.


Step 6: Search for a Leave Request

  1. Locate the Search field at the top of the page.
  2. Enter a leave request number or employee name.
  3. The system will automatically filter the list based on your input.

This allows fast access to specific leave requests.


Additional Notes

  • Leave requests must align with employee leave balances and entitlement profiles.
  • Approved requests automatically impact Scheduler and Leave Balances.
  • Rejected requests do not affect leave entitlements.
  • Status filters are especially useful during approval cycles.
