How to Manage Employee Leave Profile
The Employee Leave Entitlement Profile allows you to create, update, and manage leave entitlements for individual employees. This feature ensures each employee has the correct leave allocation based on company policies or custom rules.
Step 1: Navigate to the Employee Leave Entitlement Profile
- Log in to your XandaPay Enterprize portal.
- From the left-hand menu, go to HR → Leave.
- Expand Leave Profiles.
- Click Employee Profile
- The Employee Leave Entitlement Profile page will open, displaying existing employee leave records.
Step 2: Understand the Employee Leave Entitlement Grid
The table displays the following information:
- ID – Unique identifier for the leave entitlement record.
- Employee – Name of the employee assigned to the leave profile.
- Leave Code – The leave type assigned (e.g., VAC).
- Annual Entitlement(ANT) – Number of leave days granted.
- Start Date – Date the entitlement becomes effective.
- End Date – Date the entitlement expires.
- Linked To (Master Profile) – Indicates whether the profile is tied to a master leave profile.(Select None is this profile differs to the ANT set under YOS definition)
- Void – Marks the entitlement as inactive without deleting it.
Step 3: Add a New Employee Leave Entitlement Profile
- Click New Employee Leave Entitlement Profile.
- Select the Employee.
- Choose the appropriate Leave Code.
- If applicable, link the record to a Master Profile(If not select None)
- Enter the Annual Entitlement.
- Set the Start Date and End Date.
- Leave Void unchecked to keep the profile active.
- Click Save to create the entitlement profile.
Step 4: Edit an Existing Employee Leave Entitlement Profile
- Locate the employee record in the list.
- Click on the hyperlink to open the profile.
- Update entitlement values, dates, or master profile linkage as needed.
- If the entitlement should no longer apply, check Void.
- Click Save to apply the changes.
Step 5: Search for an Employee Leave Entitlement Profile
- Locate the Search field at the top of the page.
- Enter an employee name or keyword.
- The list will automatically filter to show matching leave entitlement records.
This allows quick access to specific employee profiles in large datasets.
Additional Notes
- Employee Leave Entitlement Profiles override default settings from master profiles when applied.
- Voiding a profile retains historical accuracy while preventing future leave calculations.
- Accurate entitlement setup directly impacts Leave Requests, Leave Balances, and payroll integration.
