How to Use Ad Hoc Reports

The Ad Hoc Reports feature in XandaPay allows you to create customized reports using specific datasets and filters. This tool is ideal for one-time reporting needs, detailed analysis, or generating reports that are not covered by standard templates.

Step 1: Navigate to Ad Hoc Reports

Log in to your XandaPay portal.

On the left-hand navigation panel, click the Reporting & Analytics icon.

Select Ad Hoc Reports from the menu.


Step 2: Choose Your Dataset

At the top of the screen, under Choose Your Dataset, select the dataset you want to analyze.

Options include:

Allowance & Deductions

Employees

Payroll

Payslips

Tax – Monthly

Tax – By Payroll

Leaves

Loans

Salary & Wage

Thrift & Pensions


Step 3: Apply Conditions (Optional)

Click Add Condition under the Custom Search Builder to filter your results.

You can add multiple conditions (e.g., department, position, pay type) to refine the report.

Conditions can be combined for targeted searches.


Step 4: View and Navigate Results

The results will display in a table format with columns such as Name, Branch, Position, Dept, Status, Pay Type, Gender, Age, DOB, and Hired.

Use the Search box on the right to quickly locate specific entries.

Use the entries per page dropdown to adjust how many records are shown on screen.


Step 5: Export or Copy Your Report

Once your data is ready, you can:

Copy – Copy the data to your clipboard.

Excel – Export the report in Excel format.

CSV – Export in CSV format.

PDF – Export as a PDF file.

Export All – Download all available data at once.


Additional Notes

Ad Hoc Reports are temporary by nature and are not stored for future use unless you save or export them.

The dataset you select determines which columns and data fields are available.

Filtering data before exporting helps reduce file size and makes analysis easier.

For recurring reports, consider using Basic Reports or scheduling via the Generate and Email feature. 📊
